Why Is My Wedding Coordination Quote Higher Than the Starting Price?

One of the most common questions I hear as a Muskoka wedding coordinator is:

“Your website says coordination starts at $1,800 — so why is my quote higher?”

It’s a fair question, and nobody likes an unexplained number. So instead of leaving couples to guess, I want to walk through exactly how wedding coordination pricing works at Chrizzy Plans, what “starting at” actually means, and why two weddings on the same wedding coordination package can land at very different prices.

What “Starting At” Means for Your Wedding Coordination Package

When you see 3-Month Coordination starting at $1,800, that price covers a defined scope: the final planning review, vendor communication support, your wedding-day timeline and vendor run sheet, and day-of coordination for a straightforward wedding — up to 30 guests, a venue that already handles a lot of the on-site logistics, and a standard one-day timeline.

Most weddings do not stay inside that baseline, and that is not a bad thing. It just means your wedding has real, specific scope that a flat rate for every couple would not account for fairly. So the base price flexes based on what your day actually needs.

My goal isn’t to sell every couple the same package at the same price. It’s to make sure you’re paying for the level of coordination your wedding actually requires — and not a dollar more.

What actually moves your wedding coordination pricing

These are the factors I build into every custom quote, in plain terms:

Guest count. A 30-guest wedding and a 150-guest wedding simply don’t require the same level of coordination. More guests simply create more moving parts — from catering and seating logistics to timeline management, vendor coordination, and more people to keep on schedule throughout the day.

Season. July, August, and long weekends are peak demand periods in cottage country. Vendors price peak season higher across the board, and coordination is no different — it is also when my own calendar is tightest.

Venue type. A full-service venue or resort already has much of the operational side of the wedding in place — guest parking, catering operations, tables and chairs, power, washrooms, loading areas, and a venue team overseeing the property. (They aren’t hiring your florist, DJ, photographer, or décor company — that remains part of your wedding planning.) A private cottage or family property starts with none of that infrastructure: tent placement, power, dance floors, guest parking, restroom rentals, waste management, and vendor logistics all need to be planned from the ground up, because there is no venue team managing the property. That’s exactly why having a cottage wedding coordinator matters here — the venue team is managing the property, while I’m managing your wedding.

Extra event days. If your wedding needs a Friday setup day, or a welcome event, or a day-after brunch worked into the coordination, that is additional on-site time, and it is priced as its own line item rather than folded invisibly into the base fee.

A note on what 3-Month Coordination actually includes

Because this package starts three months out — a common structure in Muskoka wedding planning — most couples booking it have already done their own vendor hiring — photographer, caterer, florals, rentals, all of it. My role at that stage is not finding vendors, it is reviewing what is already booked, communicating with those vendors on your behalf, and building the logistics and timeline around them. That is worth naming here, because it is part of why the price difference between two weddings on this same package has nothing to do with vendor sourcing — it comes down to scale and logistics.

Two weddings, same package, different quotes

Here is what that looks like on the same 3-Month Coordination package, side by side:

Wedding AWedding B
Guests40110
VenueFull-service venuePrivate cottage
SeasonShoulder seasonPeak season
Setup dayNoFriday setup
Base package$1,800$1,800
Guest count adjustment+$300+$900
Peak season surcharge—+$324
Private property logistics—+$500
Friday setup day—+$700
Subtotal (before HST)$2,100$4,224

Wedding A barely moves off the starting price because the venue’s own on-site team is already handling most of the logistics — that is the baseline scenario the $1,800 is actually built around. Wedding B has a bigger guest list, a private property with no built-in event team, and an extra on-site day, so the price reflects the real coordination work involved.

Both weddings get the exact same level of care. The difference in price is scale and logistics, not vendor-finding — that work was already done by the couple before I stepped in.

Why I show the breakdown instead of just a final number

I could hand you a single total and leave it at that. But I think you deserve to see what you are actually paying for, especially when you are trusting someone with a day this important. An itemized quote means:

  • You can see exactly why your number differs from the starting price, instead of wondering.
  • If something in your plans changes — guest count drops, you move to a venue with more built-in support — the quote can adjust with it.
  • There are no surprises added later. What is quoted is what is owed.
Every quote I provide is customized to the wedding in front of me. This is exactly how I approach wedding coordination pricing: I don’t inflate pricing because a couple has a bigger budget, and I don’t believe every wedding should cost the same regardless of what the day actually involves. My pricing simply follows the work in front of me.

What this means for your budget

If you are early in planning and trying to understand wedding coordinator cost in Ontario, especially for cottage country weddings, the honest range for most Muskoka weddings I work on lands somewhere between the $1,800 starting point and roughly $5,000–$6,000 for a fuller-scope private property wedding with all the logistics that come with it. That tracks with broader Canadian wedding planner pricing data as well. Where you land depends entirely on your guest count, your date, and your venue — not on guesswork.

If you want a real number instead of a range, that is exactly what a consultation is for. Tell me your date, guest count, and venue, and I will build a quote that reflects your wedding specifically, broken down the same way, every time.

If your quote comes in above the starting price, I’ll always explain exactly why and show you where every dollar is going.
